Administrative Assistant – Prosper Springfield (Part-Time)
Job Summary:
This administrative assistant position assists the Prosper Springfield Director and the Community Diversity and Equity Director with the Gun Safety and Violence Reduction Collaborative project.
Evaluation:
The Prosper Springfield Director, following adopted policies of Community Partnership of the Ozarks, evaluates the Administrative Assistant – Prosper Springfield.
Reporting Structure:
The Administrative Assistant – Prosper Springfield reports to the Prosper Springfield Director.
Duties and Responsibilities:
- Attend meetings and community events, collect data for reporting program success;
- Responsible for handling incoming phone calls and voice mail;
- Travels within Springfield to run errands, purchase, deliver or pick up supplies as directed;
- Drafts meeting agendas, to include identifying follow-ups or next steps from meetings and schedule meetings.
- Develops correspondence in the form of e-mails, letters, memos, meeting notices, etc. for program staff as directed;
- Places food orders for meetings and helps set up for meetings and events in the office and in the community as needed;
- Responsible for maintaining shared Outlook calendars for meeting spaces within organization;
- Maintains various databases and prepares reports;
- Send meeting notices as directed via e-mail;
- Maintains confidentiality;
- Takes and maintains meeting minutes for various meetings, committees, collaborative meetings, and other groups as directed;
- Submit monthly in-kind reports;
- Compiles and maintains RSVP lists for meetings, events or other activities as directed;
- Assists Prosper Springfield Director and Community Diversity and Equity Director in any other duties, projects and assignments as needed;
- Participate in CPO’s resource development/fundraising activities.
- Other duties as assigned.
Essential Qualifications/Skills:
- Minimum of High School Diploma or equivalent;
- Strong computer skills, including Microsoft Office suite and internet expertise;
- Lift, push or pull up to 50 pounds essential;
- Time management and organizational skills are a must in order to handle multiple tasks with various priorities;
- Must be able to work in a fast-paced environment;
- Must be reliable and punctual;
- Must be detail oriented and accurate;
- Must demonstrate strong computer and typing skills as well as written and oral communication skills;
- Must demonstrate a professional and friendly manner in working with CPO staff, committees/task forces, clients and the general public;
- Must be able to effectively communicate the mission and work of the CPO;
- Must be able to work flexible hours (evenings and weekends), not to exceed 20 hours a week;
- Must have valid driver’s license and current automobile insurance.
Position Clarification:
The position of Administrative Assistant – Prosper Springfield is a grant-funded position and is based upon funding availability. This is a non-exempt, part-time position. Grant funding dictates the pay range for this position. CPO receives federal grants and contracts and therefore must comply with the Drug-Free Workplace Act of 1988.
