Job Summary:


This full-time administrative position assists program staff involved with substance misuse and suicide prevention programming of Community Partnership of the Ozarks, Inc. (CPO). This includes maintaining an organized and stocked inventory of program resources, coordinating program trainings that includes significant communication to registrants, developing correspondence in the form of e-mails, letters, meeting notices, etc. as directed for program staff, assisting with developing newsletters and mailings, and assisting with maintaining databases and reports.

Evaluation:


The Prevention Resource Center Director, following adopted policies of Community Partnership of the Ozarks, evaluates the Program Support Specialist.

Reporting Structure:


The Program Support Specialist will report to the Prevention Resource Center Director.

Duties and Responsibilities:


  • Respond to phone calls, voicemails, and emails regarding request for program service;
  • Maintain a program resource room and storage shed, including inventorying materials, ordering and restocking materials, preparing materials for distribution, and coordinating that distribution;
  • Assist staff with preparing materials and equipment for trainings, presentations, and community events;
  • Assist staff with coordinating coalition meetings, communication with coalition members, and organizing activities with partner organizations as needed;
  • Document and track for program staff services provided and required demographic information;
  • Coordinate training registration processes that include significant communication and support to complete training registration and related pre- and post-work;
  • Assist with developing newsletters and community outreach materials;
  • Maintain excellent and clear communication and timely follow up with supervisor, staff, and partners;
  • Prepare progress reports for projects in the CPO service region;
  • Participate in CPO’s resource development/fundraising activities;
  • Other duties as assigned.

Essential Qualifications/Skills:


  • Minimum of High School Diploma or equivalent;
  • Excellent moral and ethical character;
  • Strong computer skills, including Microsoft Office suite and internet expertise;
  • Lift, push or pull up to 50 pounds essential;
  • Excellent time management and organizational skills to handle multiple tasks with various priorities;
  • Effectively work in a fast-paced environment, both independently and as part of a team;
  • Reliable and punctual;
  • Detail oriented and accurate;
  • Strong written and oral communication skills;
  • Ability to write clear reports and planning documents;
  • Excellent customer service skills;
  • Ability to effectively communicate and model the mission and work of the CPO.

Position Clarification:


The position of Program Support Specialist is a grant-funded position and is based upon funding availability. This is a non-exempt, full-time position. Grant funding dictates the pay range for this position. CPO receives federal grants and contracts and therefore must comply with the Drug-Free Workplace Act of 1988.
