Job Summary:


This part-time position requires a flexible schedule and the ability to work with multiple community organizations, volunteers, and partners to support the VITA tax clinics. This position is responsible for assisting CPO Financial Stability programming.

Evaluation:


The Director of Financial Stability Programs, following adopted policies of The Community Partnership of the Ozarks, evaluates the VITA Administrative Assistant.

Reporting Structure:


The VITA Administrative Assistant reports to the Director of Financial Stability Programs.

Duties and Responsibilities:


  • Maintain integrity and confidentiality;
  • Responsible for managing calls, voicemail, text messages, and emails in a timely manner for Financial Stability Programs;
  • Manage VITA appointments for the appointment-based sites;
  • Maintain database of all tax clients, volunteers, and participants of Financial Stability Programs;
  • Maintain computer/technology equipment and supplies, including inventorying, ordering, and restocking supplies to prepare VITA clinics and to coordinate program operations;
  • Certify as an IRS Advanced Tax Preparer and assist in VITA tax clinics;
  • Assist the volunteer Site Coordinators with VITA operations;
  • Document in-kind, numbers served, outcome measures, volunteer hours, mileage, etc. as required for reports to grant and funding sources.
  • Assist with recruiting, engaging, training, and retaining volunteers;
  • Assist with developing newsletters and community outreach materials;
  • Assist staff with meetings, communications, and organizing activities as needed;
  • Communicate regularly with the Director of Financial Stability and other stakeholders to ensure expedient and effective implementation of services and programs;
  • Participate in relevant professional development and training opportunities;
  • Participate in CPO’s resource development/fundraising activities;
  • Other duties as assigned.

Essential Qualifications/Skills:


  • Minimum of High School Diploma or equivalent;
  • Flexible schedule and must be able to work evenings and weekends;
  • Strong computer skills, especially internet and Microsoft Suite;
  • Excellent written and oral communication skills;
  • Strong interpersonal skills and the ability to take a team approach;
  • Strong time management skills and the ability to manage multiple projects simultaneously;
  • Able to work with people from all socio-economic levels, backgrounds, and professional levels;
  • Excellent customer service skills;
  • Must be able to work in a fast-paced environment;
  • Must be reliable and punctual;
  • Must be detail oriented and accurate;
  • Lift, push or pull up to 50 pounds essential;
  • Valid driver’s license and reliable transportation;
  • Must be able to effectively communicate the mission and work of Community Partnership of the Ozarks, Inc.

Position Clarification:


The position of VITA Administrative Assistant is a grant-funded position and is based upon funding availability. This is a non-exempt, part-time position (20-29 hours per week). Grant funding dictates the pay range for this position. CPO receives federal grants and contracts and therefore must comply with the Drug-Free Workplace Act of 1988.
